From Word documents to a managed system

The practice was running on a collection of Word documents and spending more time on admin and appointment amendments than on treating patients. They were also uneasy about requesting sensitive information over email, and about what GDPR meant for their paper records.

We took their concerns and their goals, customised the existing processes, then designed and implemented an efficient, user-friendly system — with us providing full ongoing management of it.

The client now spends their time treating patients and building the practice.

This clinic had used WriteUpp for some time but was still emailing pre-consultation forms out and manually attaching them to patient records on return — they didn't feel they had the skills to implement smart forms and email templates. The result was more admin and fewer patients treated.

WriteUpp questions we're asked most

Is WriteUpp right for my practice?

Often, but not always — and we will tell you if it isn't. It suits UK practices particularly well, especially those billing private medical insurers, and it is one of the most affordable options for solo practitioners. Larger multi-site clinics with unusual requirements sometimes fit better elsewhere.

What does the affiliate partnership mean in practice?

It means we see new functionality and product changes early, and have a direct line into the WriteUpp team. It does not mean we recommend WriteUpp regardless of fit — an implementation that suits the practice is worth far more to us than a referral that does not.

I've already got WriteUpp but I'm not using half of it.

Extremely common, and usually the quickest win available. Smart forms, email templates, automated reminders and invoicing are the features most often left switched off because setting them up looked like a big job. It generally is not, once someone who knows the platform sits down with it.

Can you move us onto WriteUpp from paper or another system?

Yes. Patient records, appointment history and financial data, migrated with reconciliation checks at each stage so nothing quietly goes missing. We agree a cut-over plan that keeps the clinic running throughout.

Can you just run it for us?

Yes — full management is one of the options. Some clients want the system built and handed over with training; others would rather never look at the configuration again. Both are fine, and you can move between them.
