Practice Operations

Helping your practice grow without everything relying on you

As your practice grows, it's easy for more and more to end up sitting with you.

You're caring for patients or clients, supporting your team, answering questions, solving problems and trying to move the practice forward — all while keeping an eye on everything happening behind the scenes.

Without really meaning to, you can become the bottleneck in the practice. Not because you're doing anything wrong, but because so much of the knowledge, decision-making and day-to-day responsibility has naturally built up around you.

Practice Operations gives you an experienced operational partner working alongside you — someone who gets to know your practice, your team and the way you want things to work, and helps keep the day-to-day running smoothly.

You continue to lead your practice, its vision and the decisions that matter. I work beside you to bring greater structure and visibility, turn agreed priorities into action and help make sure everything doesn't always have to come back to you.

I bring more than 25 years of experience across operations, systems, processes, customer service and business management — including senior management and Director-level roles — and apply that experience in a practical way that works for healthcare and wellbeing businesses.

It's about bringing some of the structure and operational thinking that helps larger organisations perform well, without adding unnecessary layers or complexity to your practice.

When the practice has outgrown the way it's being managed

When being the person who knows everything starts holding you back

In the early days of a practice, it makes sense for the owner to be involved in almost everything.

You know the patients or clients. You know the team. You know how things are done. And when something needs sorting, you're usually the person who sorts it.

But as the practice grows, that can become harder to sustain.

  • The team still comes to you with questions.
  • You notice when things haven't happened.
  • Problems wait until you have time to deal with them.
  • Improvements get discussed but don't always turn into action.
  • And even when you're away from the practice, you're still carrying much of it around in your head.

There may be opportunities to introduce new services, grow the team, improve the patient experience or increase capacity — but making those things happen often creates even more work for you.

At this stage, working harder usually isn't the answer.

What the practice needs is more operational support around you — helping the team become more confident, creating clearer ways of working, turning ideas into action and making sure everything doesn't continually need your personal involvement.

A partnership, not a handover

You don't step away from your practice. You gain someone alongside you.

Bringing somebody into the operational side of a practice you've worked hard to build can feel like a big step.

And it should never feel as though you're simply handing your business over to somebody else.

Practice Operations is a partnership.

I spend time understanding your practice, your team, your patients or clients, what matters to you and how you want the business to develop.

From there, we agree where my support will make the biggest difference.

I can help coordinate the day-to-day, keep agreed priorities moving, improve systems and processes, support the team, identify things that need attention and give you clearer visibility of what's happening across the practice.

My wider operational and corporate experience also means I can bring ideas, structure and ways of working that you may not previously have had access to within a smaller business — adapting them so they are proportionate and practical for your practice.

You remain informed and involved in the areas that matter to you, while gradually having fewer operational details that need your personal attention.

The aim is for the practice to run more confidently around you, rather than everything having to run through you.

This is probably for you if…

  • You have a team but coordinating everything still seems to fall to you
  • Team members regularly come to you for answers or decisions
  • You're the person who notices when something hasn't been followed up
  • You find yourself dealing with practice issues between patients, appointments or at the end of the day
  • Improvements and good ideas are agreed but often slip down the priority list
  • The practice noticeably slows down when you're away
  • You don't have a clear view of capacity, performance or what's happening across different areas of the practice
  • There are opportunities to grow, but you're not sure how much more you can personally take on
  • You want to introduce more structure without turning your practice into a large corporate organisation
  • You need experienced practice management support but don't need or want a full-time senior employee
  • You want someone who can think alongside you and help move things forward, rather than simply waiting for a list of tasks

Built around your practice

The operational support your practice needs as it grows

No two practices need exactly the same thing.

We'll agree the areas where having an experienced operational partner alongside you will make the biggest difference, and the support can evolve as your practice does.

Day-to-day operational oversight

Helping keep the moving parts of the practice coordinated, spotting things that need attention and making sure agreed priorities don't disappear behind busy clinical diaries.

Fractional Practice Management

Experienced practice-management support for the proportion of time your practice actually needs — without the recruitment, salary and commitment of employing a full-time senior Practice Manager.

Team support, coordination & accountability

Helping create clearer responsibilities, better communication and greater confidence within the team so fewer everyday questions and decisions automatically come back to you.

KPIs & practice visibility

Identifying the information that will genuinely help you understand how the practice is performing and creating a regular reporting rhythm around it.

This isn't about giving you more spreadsheets.

It's about helping you see what's working, what's changing and where your attention may be needed.

Capacity & practitioner utilisation

Looking at how effectively practitioner time, rooms, services and appointment capacity are being used, where capacity is being lost and what may need to change to support future growth.

Patient or client journey & experience

Looking at the whole experience of your practice — from the first enquiry and booking through appointments, communication, treatment, follow-up, recalls and ongoing engagement.

My customer-service and operational background means I look at the experience not only from the practice's point of view, but also from the perspective of the patient or client moving through it.

Systems & process development

Making sure your practice-management system, workflows and processes continue to evolve with the business rather than remaining based on how the practice worked when it was much smaller.

Policies, SOPs & operational documentation

Creating clearer and more consistent ways of working so important knowledge doesn't sit solely with you or individual members of the team.

The aim isn't paperwork for the sake of paperwork. It's creating enough structure for people to know what good looks like and work confidently without continually needing to ask you.

CQC compliance & implementation support

Where relevant to your practice, supporting and developing the operational processes, systems and documentation required around CQC compliance and implementation.

Recruitment & onboarding

Helping define roles, improve recruitment processes and create more structured onboarding so new team members can settle into the practice without everything depending on you.

Suppliers, insurers & external partners

Supporting operational relationships with suppliers, insurers, corporate clients, referral partners and other organisations involved in the day-to-day running of the practice.

Growth projects & new services

Helping turn ideas into action — whether you're introducing a new service, bringing in another practitioner, increasing capacity, developing referral relationships or expanding into an additional location.

This is where my wider business background can be particularly valuable: helping take an idea, work through what needs to happen operationally and then keep the implementation moving until it becomes part of the practice.

Business continuity

Reducing the risk that something stops working because one person is unavailable or is the only person who knows how it is done.

Big-business experience without big-business bureaucracy

Bringing proven operational thinking into a growing practice

Smaller healthcare and wellbeing businesses don't need to behave like large corporations.

But there are things larger, established organisations often do well that can make a significant difference as a smaller practice grows.

  • Clear responsibilities
  • Consistent processes
  • Useful management information
  • Better visibility
  • Structured onboarding
  • Plans that actually turn into action
  • Systems that support the team rather than slow them down

Over more than 25 years, I've worked across business administration, customer service, systems, processes and operational management, including more than 15 years in management and four years at Director level.

That experience allows me to look beyond the immediate task and ask:

  • Why is this happening?
  • Could this work better?
  • Does everyone know what they're responsible for?
  • What information would help us make a better decision?
  • What needs to change if the practice wants to grow?

I then take the parts that will genuinely help your practice and adapt them to fit your size, team, culture and ambitions.

You get the benefit of senior operational experience without turning your independent practice into something overly corporate.

Your practice. Your vision.

Getting more support doesn't mean giving up control

You built the practice and you remain the person leading where it goes.

Practice Operations is there to give you more support around that responsibility — not take it away from you.

You continue to lead:

  • The vision and direction of the practice
  • Clinical leadership and clinical decision-making
  • Key strategic and financial decisions
  • The culture and values you want within the practice
  • The relationships and areas of the business you want to remain personally involved in

I work alongside you to:

  • Create structure around those decisions
  • Turn agreed priorities into action
  • Keep operational work moving
  • Give you clearer visibility of what's happening
  • Support the team to work with greater clarity and confidence
  • Identify problems before they become another fire for you to fight
  • Spot opportunities to make the practice work better
  • Help make sure good ideas actually get implemented
  • Bring wider operational experience and ideas into the practice where they could help you achieve your goals

The precise balance will look different for every practice and is something we agree together.

A relationship built on trust

Someone who gets to know your practice, not just your task list

An effective operational partnership isn't created overnight.

I'll spend time getting to know your practice, your team, your patients or clients, your systems and — importantly — how you like to work.

We'll agree priorities and responsibilities together, including what I can progress independently and which decisions you'd like to remain closely involved in.

Regular communication and reporting means you continue to understand what's happening without needing to be involved in every operational conversation or task.

I'll also bring ideas and experience from outside the immediate world of the practice. Sometimes a challenge that feels unique to a smaller healthcare business is something I've seen — and probably solved — in a different operational environment.

The key is taking that experience and making it relevant and practical for your business.

As we work together and trust develops, the relationship can evolve naturally. You may initially want to remain involved in most things. Over time, there may be areas you're comfortable stepping back from because you know they're being looked after.

There's no expectation that you suddenly hand everything over.

The aim is simply to make running the practice feel lighter, more supported and less dependent on you having to hold everything together.

Monthly retained support

More than simply buying a block of hours

Practice Operations is different from Practice Support because you're not simply paying for somebody to complete a set number of administrative tasks.

You're bringing an experienced operational partner into the practice with agreed priorities and areas of focus.

The monthly retainer reflects the level of support and involvement your practice needs rather than simply multiplying an hourly rate by a number of hours.

We'll agree what the relationship needs to achieve at the beginning, set priorities together and regularly review progress as your practice develops.

Monthly retainers are individually scoped around your practice.

Building the relationship

You don't have to hand over the keys on day one

For many practice owners, inviting someone into the operational side of a business they've built is a significant decision.

It needs to feel right.

For that reason, some Practice Operations relationships begin with a smaller piece of work first — perhaps a Practice Performance Review or Practice Improvement project.

That gives me an opportunity to understand the practice and gives you an opportunity to experience how I work, the ideas and experience I bring and whether working together feels right before considering a longer-term operational partnership.

If you're already clear that ongoing operational support is what you need, we can also start with a Practice Discovery Call and talk through how the relationship could work.

Either way, we'll build the level of involvement at a pace that feels right for you and your practice.

What we're working towards

A practice that feels more supported, calmer and ready to grow

Success doesn't mean you no longer know what's happening in your practice.

Quite the opposite.

The aim is for you to have better visibility and more confidence in how things are running, without needing to personally manage every detail.

A practice where:

  • Your team has greater clarity and confidence
  • Important actions actually happen
  • Patients or clients experience more consistent processes
  • Systems make life easier rather than creating additional work
  • You have useful information to help you make decisions
  • Problems don't always need to reach you before they can be resolved
  • You have more space to focus on your patients, your team and the future of the practice
  • Good ideas turn into real improvements
  • Growth doesn't automatically mean more pressure landing on you
  • You have an experienced operational partner beside you to help work through what comes next

Free 30-minute Practice Discovery Call

Would having the right person beside you make running the practice feel easier?

If too much of your time is being spent coordinating the practice, answering questions, firefighting problems or making sure everything actually happens, let's have a conversation.

We'll use the call to understand how your practice currently runs, what is sitting with you, what you're trying to achieve and where having some experienced operational support alongside you could make the biggest difference.

There's no assumption that Practice Operations will be the answer. If I think a smaller piece of support, a Power Session or a specific improvement project would solve the problem, I'll tell you.

No charge. No obligation. No hard sell.
