Free Practice Efficiency Calculator

What is inefficiency costing your healthcare practice?

A handful of unfilled appointments. A few hours every week spent on administration. Processes your team still handles manually.

Individually, they may not seem significant.

Across a year, they can tell a very different story.

Use the free Practice Efficiency Calculator to estimate the annual value potentially tied up in lost clinical capacity and unnecessary administration.

  • Takes around 60–90 seconds
  • No email address required
  • Nothing is sent anywhere
1Your practice

Use the approximate average amount your practice receives for a typical clinical appointment.

We've suggested 48 weeks to allow for holidays and closures. Change this if another figure better reflects your practice.

2Clinical capacity

How much clinical capacity is being lost?

We only want to count appointment capacity that could realistically have been used.

Only include cancellations or DNAs where the appointment slot remains empty. Don't include appointments that are successfully rebooked with another patient.

Include regular clinical capacity that could reasonably have been booked but remains empty. Do not include the cancelled/DNA appointments entered above.

3Time spent on administration

What is unnecessary administration costing?

Think about work that could potentially be delegated, automated, streamlined or removed through better systems and processes.

For example: appointment administration, chasing forms, invoicing, routine emails, diary management, reporting or fixing recurring operational problems.

If you're a clinician, you could use your approximate hourly clinical value. If not, enter a reasonable value for an hour of your working time.

Think about manual processes, duplicate data entry, chasing information, sending routine communications, managing spreadsheets or tasks that could potentially be streamlined.

Use an approximate fully loaded hourly cost if you know it. Otherwise, an estimated hourly employment cost is fine.
